Organization Management
This article is for organization administrators and platform operations staff. It covers configuring and managing LanEcho in the Lansenger management console (EMC): licensing, device management, model configuration, summary template management, usage statistics, and firmware version management. End users can skip this article and read the rest of the manual for day-to-day use.
The Console and Its Menus
Once an organization’s LanEcho license is activated, the EMC console shows a top-level “LanEcho” menu with these sub-menus:

Platform administrators and customer success roles additionally see a top-level “Firmware Version Management” menu, used to release recording card firmware upgrade plans to all organizations.
License Management
LanEcho’s “LanEcho Authorization Duration” and “LanEcho Usage Mode” are configured in the organization’s base license:
- LanEcho Authorization Duration: the license’s validity window. The license page always shows the available duration and expiry time; after expiry, the available duration shows 0 days.
- LanEcho Usage Mode: choose one of two modes — whether quotas are issued per user or per device.
Before activation, the license page shows a default state; tap “Activate Now” for guidance (this is a paid feature — contact your dedicated customer service representative to activate it).
Authorize By User Usage
Monthly quotas per person, with three items to configure:

The license page also shows the current configuration of “Monthly Transcription Duration Per User” and “Monthly Summaries Per User”.
Authorize By Device Count
- Max Connected Devices: the total number of devices allowed to bind and connect in the organization.
- The license page shows “Connections Remaining” and “Total: xxx devices”, so you always know the headroom.
What Users See
- License not activated or expired: binding a device prompts “Binding failed. Please contact your organization administrator.”; generating a Transcript or Smart Summary prompts “Generation failed: no available quota. Please contact your organization administrator.”
- Device cap exceeded: binding prompts “Binding failed: the maximum number of devices has been reached. Please contact your organization administrator.”

Device Management
“Device Management” gathers the binding relationships between users and recording cards in your organization:
- List fields: Name, Device SN, Login Info, Bound At, Binding Status, and Actions.
- Name search: fuzzy matching by keyword. Dropdown suggestions show “Name + login account” to tell same-named members apart — up to 10 suggestions, beyond which it prompts “More results — keep typing”. Clear the search box to restore the full list.
- Device SN search: exact match by SN. Press Enter or tap the search button to filter; clear it to restore the full list.
- Console-side unbinding: only records in the “Bound” state can be unbound — useful for device recalls, offboarding, and device replacement.
Binding follows these rules:

Model Configuration
“Model Configuration” integrates the speech and large language model services your organization has chosen, in three categories — “Model Configuration (Transcript)”, “Model Configuration (Real-Time Transcription)”, and “LLM Model Configuration” — all following the same configuration rules:
- The list shows configuration names and scopes, newest changes first, and supports search by configuration name.
- When adding a configuration, fill in order: configuration name (0–20 characters), scope (selected by branch), and provider (currently Alibaba Cloud, Baidu Cloud, Huawei Cloud, and iFLYTEK are supported).
- Once a provider is selected, the page presents that provider’s parameters as a dynamic form, each with a description. Default values are shown where they exist, and boolean parameters are set with switches.
- “Model Configuration (Transcript)” supports either HTTP or WebSocket; “Model Configuration (Real-Time Transcription)” supports WebSocket only.
- “LLM Model Configuration” includes a context length in K Tokens — positive integers only, default 32.
- After editing an existing configuration, tap “Save Configuration” to apply. Deleting a configuration requires a second confirmation and can’t be undone — people under a deleted configuration fall back to the default one.
Policy matching rules:
- Scopes are branch-based only, with at most 50 branches per entry.
- When a person belongs to multiple branches, the configuration follows branch priority.
- When multiple rules exist for the same branch, the applicable rule is decided by rule time.
Real-Time Transcription Cloud Control and the VIP List
Two global capabilities are maintained in “LanEcho Management”:
- Real-Time Transcription cloud control switch: off by default. Only when it’s on does the app’s “My Device” Remote page show the “Real-Time Transcription” item. “Model Configuration (Real-Time Transcription)” must be completed before turning it on — otherwise saving prompts “Save failed: ASR model configuration (Real-Time Transcription) is missing.”
- VIP list: configured by person or personnel tag. The system prioritizes Transcript and Smart Summary generation tasks from listed users — ideal for guaranteeing turnaround for leadership or key meetings. Unconfigured by default; editable and clearable, with the saved list shown after saving.
Summary Template Management
“Summary Template Management” maintains the templates users can pick from when tapping “Generate Smart Summary” in the app. The system ships with 8 built-in scenario templates — Meeting Minutes, Keynote Speech, Daily Communication, Study & Lecture Notes, Personal Affairs, Client Interview, Interview Report, and Visit & Tour — and you can create your own as the organization needs:
- Tap “New Template” and fill in: template icon (optional — JPG/JPEG/PNG under 5M, 72×72 recommended), name (required, up to 64 characters), description (required, up to 500 characters), prompt (required, up to 6000 characters), and style configuration file (required, zip format).
- Tap “Save” to finish — you’re returned to the list page.
List management and status rules:
- Template cap of 200: at the cap, the “New Template” button is grayed out and prompts “Cannot create template: the maximum number of templates has been reached.”
- Enable and disable: the app only fetches templates in the “enabled” state. Disabling a template doesn’t affect Smart Summaries already generated with it.
- Ordering: in the ordering dialog, enter the target position (a positive integer greater than 0) — the template slots into place and later templates shift down. The app displays templates in this order.
- Details: tap “Details” to view a template’s full configuration.
Statistics
User Usage Statistics
Search by end date (today by default, earlier dates available) and member name, and view from two angles:
- By record: Name, Login Info (one of phone number, username, or email by priority), Recording Name (masked), Duration, Source, Recording Start Time, and Status (Normal/Deleted).
- By user: Name, Login Info, Total Recordings, Total Duration, Transcribed Recordings, Transcription Time Used, Recordings with Summaries, and Deleted Recordings.
Tap “Export” to export statistics for the current view. Export tasks can be viewed and downloaded in the “Batch Task Center” under “LanEcho – User Usage Statistics Export”.
Authorization Usage Statistics
- Plan: shows the organization’s current license plan name and mode; under Authorize By Device Count it shows “Connected Devices / Total Devices”.
- License details: per member, shows monthly transcription time and its cap (minutes), plus summaries generated and the allowance — so you can track each member’s quota consumption and adjust the license in time.
Firmware Version Management
“Firmware Version Management” is for platform administrators and customer success roles, releasing firmware upgrade plans for LanEcho recording cards:
- Tap “Add New Version” to create a plan and fill in: title (required, up to 30 characters), vendor (required, defaults to “Ailing”), firmware version (required, in the format xx.xx.xx), firmware file (required, zip format, up to 20MB), and release notes (optional, up to 500 characters).
- Once the firmware file uploads, the system computes and fills in its MD5 automatically, used for file verification during upgrades.
- A saved plan starts in the “Not Enabled” state. Tap “Enable” on its details page to take it live — it applies to LanEcho users on all platforms, and the app detects the new version on the Device Management page.
- An “enabled” plan can be “disabled” anytime; once disabled, the app can no longer fetch that update.
Plans are listed newest first, searchable by title or version keyword. The list shows No., Title, Firmware Version, Status, Operator, and Operated At; tap “Details” to view a plan and download its firmware file.
