Export and File Management
Beyond sharing inside Lansenger, you can export your recording results as files: Transcripts and Smart Summaries export as documents such as PDF for forwarding and archiving, and recordings export as standard audio files. This article also covers renaming recordings, clearing local files, and permanent deletion — everything you need to keep every recording well managed.
The More Actions Menu
Every export and file management feature lives in the “···” More Actions menu at the top right of the recording details page. The menu is titled “More Actions” and includes:
- “Share” and “Permission Management”: see “Sharing and Permission Management”.
- “Export Transcript”, “Export Smart Summary”, and “Export Recording File”: export as files.
- “Rename”: change the recording name.
- “Delete Local Recording” and “Delete”: clear or permanently delete the recording.
The menu opens as a dialog — tap outside it or tap “Cancel” to close.
Recordings in “Shared With Me” don’t support More Actions, and the “···” entry doesn’t appear on their details page. If you need an export, ask the recording owner.
Exporting a Transcript or Smart Summary
- On the recording details page, tap “···” at the top right and choose “Export Transcript” or “Export Smart Summary”.
- In the “Select File Format” dialog, choose PDF, DOCX, or Markdown — PDF is selected by default.
- Tap “Export”. The system starts generating the document and the button shows a loading state.
- Once generated, the file opens on a file preview page, where you can view it directly or forward it to a Lansenger private chat or group.
- Exported files are named after the recording automatically:
TextRecord_RecordingName.xxxandSmartSummary_RecordingName.xxx. - An exported Transcript includes the full transcription: speaker names, text, and matching recording times, with an option to include marks.
- An exported Smart Summary includes the full summary content.
- If export fails, you’ll see “Failed to export. Please try again.” — just run it again.
The content must exist before you export: without a Transcript you’ll see “Please generate a transcript before exporting.”; without a summary, “Please generate summary content before exporting.” See “Transcript and Playback” and “Smart Summary and Chapters” for how to generate them.
Exporting a Recording File
- On the recording details page, tap “···” at the top right and choose “Export Recording File”.
- In the “Select File Format” dialog, choose MP3 or WAV — MP3 is selected by default.
- Tap “Export”. Once generated, the file opens on the file preview page, ready to view or forward to a Lansenger conversation.
- Exported audio files are named
Audio_RecordingName.xxx. - MP3 is smaller and suits everyday forwarding and archiving; WAV is lossless for when audio quality matters.
Renaming
Recordings are named by date and time by default, but you can give them more recognizable names anytime:
- On the recording details page, tap “···” at the top right and choose “Rename”.
- Type the new name in the dialog — the input field is pre-filled with the current name.
- Tap “OK” to save. The name updates in sync across the recording details and the home page recording list.
- Names support letters, digits, “_” and “-”, up to 64 characters — you can’t type beyond that.
- “OK” is disabled while the input field is empty; leading and trailing spaces are trimmed on save.
- Success shows “Modification succeeded”. If it fails, try again.
- After renaming, future exports use the new name in the file name.
When a Smart Summary is generated, the system may rename the recording to the summary topic automatically — but a name you set manually is never overwritten. See “Smart Summary and Chapters”.
Delete Local Recording
Recordings synced to your phone occupy local storage. Delete Local Recording clears only the audio file on your phone — no cloud data is touched:
- On the recording details page, tap “···” at the top right and choose “Delete Local Recording”.
- In the confirmation dialog “Confirm deleting local recording?”, tap “Delete”. Success shows “Operation Successful”.
- After deletion, the recording entry, Transcript, and Smart Summary all remain in the cloud — re-download the file to play it again.
- When there’s no local file, this menu item becomes “Download Recording File” instead — tap it to download the audio back to your phone, with “Downloading recording file” shown as it starts.
Deleting a Recording
“Delete” is a permanent operation — use it with care:
- On the recording details page, tap “···” at the top right and choose “Delete”.
- In the second confirmation dialog “Deletion cannot be undone. Confirm delete?”, tap “Delete”. Success shows “Operation Successful”.
- Deletion can’t be undone: everything tied to the recording — the audio file, Transcript, Smart Summary, and Chapters — is deleted with it.
- Recipients currently viewing the recording see a “Recording deleted” notice and are taken back to the recording list, and the recording disappears from every recipient’s “Shared With Me” list.
- After deletion, no further notifications about the recording (such as transcription or summary completion) are sent — no dead-end messages.
