Sharing and Permission Management

When a meeting ends, you can share the recording with colleagues: recipients can view the recording, its Transcript, and its Smart Summary without owning a card. Sharing stays entirely within your Lansenger organization, and you can see who has access, add members, or revoke access at any time — you always control who can see each recording.

Sharing a Recording

  1. Open the recording you want to share and enter its details page.
  2. Tap “···” at the top right and choose “Share” from the menu.
  3. The Lansenger conversation picker opens — choose a private chat or group, or create a new conversation and send it to a new group.
  4. With a conversation selected, a confirmation dialog appears with the recording title on top. Tap send to share; success prompts “Share Successful”. You won’t be jumped into the conversation afterwards — go back and keep working with the recording.

The conversation picker shows only members and conversations in your organization — you can’t send it to external users.

The “Shared With Me” Tab

“Shared With Me”, the second tab on the home page, gathers every recording colleagues have shared with you — no digging through chat history:

If the sharer has removed your permission in Permission Management, tapping the recording shows “No access: the sharer has revoked your permission. Please contact the recording owner.”, and the recording disappears from the list the next time you open it. To keep viewing, ask the owner to share it again.

Permission Management

The recording owner can view and maintain the list of members with access on the Permission Management page. Only the owner can manage permissions — recipients don’t see the “Permission Management” entry.

Viewing Members with Access

  1. Open the recording details, tap “···” at the top right, and choose “Permission Management”.
  2. The top of the page reads “Allow the following members to view this recording.” Below it, every member’s avatar, name, and branch are listed in the order they gained access — the earliest member sits at the bottom. Scroll to browse the list.
  3. With no members yet, the page shows “No Members Yet” and “Share it with others!”

Adding Members

  1. On the Permission Management page, tap “Add Members”.
  2. Pick members of your organization in the picker (external users can’t be selected). Confirm and you’ll see “Saved”.
  3. The system also sends a LanEcho message to each invited member — they gain view permission only after tapping it, and then appear in the member list.

Sharing to the same member twice doesn’t create duplicate permission. Once a member has been removed, they can’t regain access from the old message — you’ll need to share again.

Removing Members

  1. On the Permission Management page, tap “Edit” at the top right to enter edit mode.
  2. Tap the delete icon next to a member. The first time, a confirmation appears: “The member will no longer be able to view this recording. Continue?” Tap “Continue” to remove them from the list — you can remove several members in a row.
  3. Tap “Done” to submit everything at once. Success shows “Saved” and returns to view mode. If you go back with unsubmitted changes, you’ll be asked “You have unsaved changes. Discard them?” — choose “Keep Editing” or “Discard Changes”.
  4. If submission fails, you’ll see “Failed to remove member. Please try again later.” — edit and submit again.

Removal takes effect as soon as it’s submitted: a removed member sees a no-permission notice when opening the recording, and it disappears from their “Shared With Me” list.

“No permission. Please contact the owner to request access.” You never had view permission for this recording, or it was revoked — ask the owner to share again
“Only users of the [xxx] organization can view.” The recording belongs to another organization, and external users can’t view it
“No access: the sharer has revoked your permission. Please contact the recording owner.” The sharer removed your permission — contact the recording owner
“Cannot view, recording has been deleted.” The owner deleted the recording; it can’t be recovered
“The recording has been deleted. No further action is needed.” The recording was already deleted; the details closed and you were returned to the recording list
